Integrations

This guide covers how to connect and manage third-party integrations in Octayne PSA. Octayne supports two surfaces for integrations:

  • Organization-level integrations apply to your entire organization and are configured by an admin from the Integrations page. These cover accounting, project tracking, organization-wide calendar, and expense tools.
  • Personal-level integrations apply only to the signed-in user and are configured from the Time Ledger calendar view. These cover personal calendar sync, personal Jira, and the AI Note Generator.

Organization-level Integrations

To access organization-level integrations:

  1. Go to Integrations in the sidebar (under Platform).

Each available integration appears as a tile, with its current status (e.g., Connected, Configure) and a primary action button.

Note: Organization-level integrations require admin permissions to connect or disconnect. Once connected, they apply to all members.

QuickBooks Online

QuickBooks Online syncs invoices and payment data with your QuickBooks company.

  1. Find QuickBooks Online on the Integrations page.
  2. Click Connect and complete the OAuth authorization flow with your QuickBooks credentials.
  3. If prompted, enter your Realm ID to link the correct QuickBooks company.

Tip: You can find your QuickBooks Realm ID in your QuickBooks URL after signing in.

Microsoft 365 (Organizational)

The Microsoft 365 (Organizational) integration provides organization-wide access to Microsoft 365 services and requires Azure AD admin approval.

  1. Find Microsoft 365 (Organizational) on the Integrations page.
  2. Click Connect. An administrator must complete the admin consent flow to authorize Octayne PSA for all users in the organization.

Note: Only an Azure AD administrator can approve consent for the entire organization.

Atlassian Jira

The Jira integration links Jira issues to projects and lets you track project work alongside billable time.

  1. Find Atlassian Jira on the Integrations page.
  2. Click Connect and complete the Atlassian OAuth flow to authorize access to your Jira workspace.

Ramp

Ramp imports expenses from your Ramp account into Octayne PSA for allocation to projects.

  1. Find Ramp on the Integrations page.
  2. Click Configure and enter your Ramp client credentials (Client ID and Client Secret).
  3. Click Save to complete the connection.

Tip: Generate Ramp API credentials from your Ramp dashboard under Developer Settings.

Personal-level Integrations

Personal-level integrations live in the right-side panel of the Time Ledger calendar view.

  1. Go to Time Ledger in the sidebar.
  2. Open any timesheet (or create one for the current week).
  3. Make sure you are on the Calendar tab.
  4. Use the icon tabs on the right edge to switch between integrations.

Note: Personal-level integrations apply only to your account. Other users in your organization will not see your connected accounts.

Google Calendar

Connect Google Calendar to import your events into the Time Ledger for time tracking.

  1. Open the Time Ledger calendar view and select the Google Calendar side-panel tab.
  2. Click Connect Google Calendar and complete the Google sign-in flow.

Microsoft Outlook

Connect Microsoft Outlook to import your Outlook calendar events for time tracking.

  1. Open the Time Ledger calendar view and select the Microsoft Outlook side-panel tab.
  2. Click Connect and complete the Microsoft sign-in flow.

Atlassian Jira (Personal)

Connect your personal Jira account to surface assigned issues for time tracking.

  1. Open the Time Ledger calendar view and select the JIRA side-panel tab.
  2. Click Connect JIRA and complete the Atlassian OAuth flow.

Octayne AI Note Generator

The AI Note Generator drafts time-entry narratives based on your calendar events and project context.

  1. Open the Time Ledger calendar view and select the Note AI side-panel tab.
  2. Select a project and enter notes; the AI will generate a suggested narrative for time entries.

Disconnecting Integrations

To disconnect an organization-level integration:

  1. Go to Integrations in the sidebar.
  2. Find the connected integration and use its tile menu to disconnect.

To disconnect a personal-level integration, use the integration's tab in the Time Ledger side panel.

Note: Disconnecting an integration stops new data syncs but does not delete data that has already been synced.
