- The week arrives already written
Collectors run on calendar, mail, documents, desktop activity, the browser and Jira. Monday to Friday comes back as drafted entries with a narrative on each one, against the right engagement and task. A person approves it. Nobody starts a timer and nobody reconstructs Thursday on a Friday afternoon.
- Every entry read, four sent to a partner
The review agent reads all of them against the engagement’s own rules — rate, budget remaining, scope, narrative quality, duplicates — and routes only what needs a judgement call. On a recent week that was 1,284 entries down to the four a partner actually opened.
- Invoices assembled, and reconciled both directions
Approved time and cost become a draft invoice with WIP, write-offs and the contract’s own billing rules applied. It reconciles against QuickBooks in both directions, so your ledger stays where it is. It never sends an invoice — a person does that.
- Scopes that carry the economics before the proposal goes out
Roles, resources and hours per week, contractors as vendor lines with their own cost rate or fixed fee and a markup, contingency, and the all-in margin updating as you move the numbers. What you agreed becomes the plan and the budget, not a spreadsheet nobody opens again.
- Skills and categories, derived not maintained
Skills come from the content of each time entry and the signals around it — Jira, calendar, desktop activity — and land on the person’s profile. The same reading sorts entries into your firm’s own categories, so leadership can see how much of the week went to meetings without anyone tagging anything. Both taxonomies are yours to edit, and neither is a list somebody has to keep current.
- A new engagement sets itself up
Approve the scope and the engagement is provisioned: the Jira board, the SharePoint directory and the QuickBooks project are created with it — or linked to what already exists, if it does. Nobody opens four systems to start a project, and nothing is named inconsistently three months later when you need to find it.
